“With the growth of our business we needed to review our IT requirements. We had a basic LAN set up, linking our four workstations and using one of the computers as a server. This computer was five years old and left running 24 hours a day so that I could access this from home, I was concerned that it may crash at some point. We were also spending more time out of the office doing calls and we needed to be kept informed about where our staff were and work around each other’s appointments.
I inquired about getting a server installed with our current IT provider. We were given three options. A full server installed and set up with calendar sharing $8,500 +GST, a small business server which they did not recommend for $5,500 +GST or a NAS box $1,600+GST but this would not allow calendar sharing.
A work associate recommended I contact Russell Masters from Spark Consulting who came to our showroom to discuss our requirements and to get an understanding of our business. He recommended we install a NAS box, with two hard drives that will mirror each other in case one fails. This still allows remote access, so that I can work from home around the kids and it is located in a secure location.
To allow calendar sharing he recommended ‘Google business apps’. Now we can keep track of appointments, book in clients and stay organised. Our e-mails are now stored on the Google Apps remote server, which syncs with outlook and our phone. I can e-mail from home, work, any other computer or my phone and my sent and read e-mails will appear in each of my outlook accounts. This has made staying organised, and in touch with our clients so much easier.
